Overview

The Problem with Manual Book Sales

Every intake season, Gateway College's book-sale process created the same headaches. Parents queued at the school counter. Staff matched orders by hand against grade lists. Inventory was reconciled after the fact — often revealing stock gaps that led to delays, wrong-book returns, and frustrated families.

With thousands of students across multiple grades, the process wasn't just slow — it was unsustainable. And because the school ran all counter sales through MyPOS, any online solution had to integrate with it, not ignore it.

What Konekt Built

Konekt delivered a WooCommerce-powered online bookstore on WordPress, integrated with Gateway College's MyPOS system via REST API.

Parent login via student registration ID. Parents authenticate using their child's student ID, verified in real time against the MyPOS database. No separate account creation, no risk of ordering for the wrong student.

Grade-level book list enforcement. Mandatory titles for each grade are enforced at checkout. Parents cannot complete a purchase without the required books for their child's year — eliminating wrong-book orders before they happen.

Multi-child account support. Families with siblings across different grades manage all orders from a single login, with separate order tracking per child.

Live inventory sync with MyPOS. Every online order is written back to MyPOS in real time, keeping stock levels accurate across online and counter sales — no manual reconciliation at the end of the day.

Automated email notifications. Parents receive updates at each stage: order placed, confirmed, and dispatched.

The Integration-First Approach

Most WooCommerce development projects bolt the POS integration on at the end. Konekt started with MyPOS as the system of record. Before writing a line of front-end code, we mapped every integration point — inventory feeds, student ID validation logic, and order write-back behaviour. The WooCommerce layer was built around what MyPOS could support, not the other way around.

This meant the school didn't end up with two systems to maintain. Online orders and counter sales both ran from the same inventory, the same student records, and the same reporting dashboard.

Results

Within the first intake term, Gateway College moved 100% of book orders online. The counter queue was eliminated. POS inventory stayed accurate in real time. Wrong-book returns dropped to near zero.

The school needed a proper e-commerce solution for their Sri Lanka campus that would replace the queuing entirely, without abandoning the MyPOS system their operations team already depended on for counter sales and stock management.

Our approach

Konekt treated MyPOS as the system of record from day one — not an afterthought. Before writing a line of WooCommerce code, we mapped every integration point: live inventory feeds from POS to store, student ID validation against the POS database, and order write-back so counter staff would always see accurate stock levels. The WooCommerce development was designed around what MyPOS could reliably support, rather than building a parallel system the school would have to maintain separately. This meant the online store and the physical counter operated from the same inventory — no reconciliation, no duplication, no surprises at the end of term.
